Steps to overcome the barriers
1. Proper placement of officials—The persons in superior and subordinate relationship should have proper placements. It should be such as to encourage restraint less flow of ideas, suggestions and questions.
2. Simple and clear language—Communication must be put in simple and clear language. The language should be according to the standard of the receiver of communication.
3. Proper orientation—All the employees must have proper and continuous orientation so that they could understand well, the objectives, problems, policies and operations of the enterprise.
4. Completeness of message—The message to be communicated must be adequate and complete, otherwise it will be misunderstood by the receiver. Inadequate communication delays action, spoils good relations and affects the efficiency of the parties.
5. Consistency in communication-Communication can be more effective if it is consistent than when it is varied.
6. Cordial atmosphere—When a boss is taking to his subordinates, the atmosphere must be peaceful so that there is effective communication of instructions and suggestions. Superiors must listen to whatever they are told, quite patiently. There should not be interruptions during the course of communication.
7. Feedback—A feedback provision calls for communication a two way process and providing opportunity for suggestion and criticism. It keeps avoiding likely errors in transmission and in invoking effective participation of the subordinates in work. In case of face to face communication immediate feedback by seeing the emotions and expressions on the faces of the listeners can help the communicator.
8. Informal communication—There should be maximum use of informal communication. Informal communication fills in the gaps existing in the formal communication system. Without informal communication the communication may not be effective all the times.
9. Regulating information flow—Regulating the flow of communications ensures an optimum flow of information to managers and subordinates, thereby eliminating the barrier of "communication overload". Subordinates should be burdened with necessary and minimum information.
